A Port Harcourt-based law firm is seeking to employ a full-time Practice/Office Manager to oversee its non-legal administrative operations and support the efficient running of the firm.

Role Title: Practice/Office Manager
Reports To: Partner
Location: Head Office, Port Harcourt, Rivers State

1. Job Summary

The Practice/Office Manager will be responsible for the efficient and profitable management of all non-legal administrative functions of the firm. The ideal candidate will serve as a bridge between the partners’ strategic vision and the firm’s day-to-day operations.

2. Key Roles and Responsibilities

The successful candidate will be responsible for:

  • Working closely with the Accounts Department.
  • Managing vendor relationships and negotiating service contracts, including office supplies, insurance and software services.
  • Ensuring compliance with legal and ethical regulations.
  • Handling insurance renewals and maintaining data security.
  • Managing operations and workflow within the firm.
  • Managing the firm’s case management software to ensure data integrity and workflow efficiency.
  • Implementing and updating standard operating procedures for file handling, conflict-of-interest checks and document management.
  • Managing staff recruitment, onboarding and training of administrative and legal support staff, including paralegals and secretaries.
  • Fostering a positive firm culture and ensuring compliance with labour laws and internal firm policies.
  • Acting as the primary point of contact for high-level client billing inquiries.
  • Working with the IT consultant to ensure proper website maintenance.
  • Coordinating client meetings, partner meetings, retreats and internal firm communication.

3. Qualifications and Skills

Applicants must possess the following:

  • Experience: Minimum of five years’ office management experience, preferably in a law firm or professional services environment.
  • Education: Bachelor’s degree in Business Administration, Finance, Law or any related field. A legal management certification will be an added advantage.
  • Technical Proficiency: Knowledge of legal billing software, Microsoft Office Suite and cloud-based file management systems.
  • Integrity: Proven ability to handle highly confidential information with discretion.
  • Problem-Solving Skills: Excellent analytical and organisational skills, with the ability to manage multiple competing priorities in a high-pressure environment.

4. Key Competencies

The ideal candidate must demonstrate:

  • Financial Literacy: Strong understanding of profit and loss statements, balance sheets and law firm realisation rates.
  • Leadership: Strong emotional intelligence, with the ability to supervise support staff and relate effectively with counsel and partners.
  • Communication: Excellent verbal and written communication skills, especially through electronic channels, for interactions with clients, vendors and staff.
